How to Choose the Right POS System

A point of sale system is more than a cash register — it's the heart of your retail or hospitality operation. Australian businesses need POS hardware that handles peak trading, integrates with EFTPOS, prints clean receipts, scans barcodes reliably, and keeps cash secure. Here's how to specify a setup that won't let you down on a busy Saturday.

1. Tablet POS vs traditional terminal

Modern Australian retailers split into two camps. Tablet POS (iPad or Android) running Square, Lightspeed, Vend or Shopify POS is fast to deploy, looks great on the counter, and pairs with Bluetooth peripherals. Traditional all-in-one terminals (HP RP9, Posiflex, Toshiba) suit higher-volume stores that need a sealed, fanless device, multiple serial ports, and a 5+ year service life. Cafes, boutiques and pop-ups generally pick tablet; supermarkets, bottle shops and pharmacies generally pick terminal.

2. Receipt printer types

• Thermal receipt printers (Epson TM-T82, Star TSP143) — fast, quiet, no ink. The standard for retail and hospitality. Look for 80mm paper width and auto-cutter.
• Impact (dot matrix) printers (Epson TM-U220) — slower and noisier but works in hot kitchens where thermal paper fades. Essential for cafe and restaurant kitchen dockets.
• Bluetooth and Wi-Fi printers — pair with iPad POS without USB cables. Star mPOP combines printer and cash drawer in one tidy unit.
• Label printers (Zebra ZD421, Brother QL-820) — for shelf labels, shipping labels, and barcode reprints. Choose direct thermal for short-life labels and thermal transfer for durable product tags.

3. Barcode scanner choice

The right scanner depends on what you're scanning. 1D laser scanners (Honeywell Voyager 1250g) are cheap and fast for printed barcodes. 2D imagers (Honeywell Xenon, Zebra DS2208) read QR codes, mobile screens and damaged barcodes — essential if you accept digital loyalty cards or scan from customer phones. Wireless Bluetooth scanners (Zebra DS2278) suit large stores where staff move around. For warehouses and stocktake, consider a rugged handheld like the Zebra TC22 with built-in Android.

4. Cash drawer

Choose a heavy-duty steel cash drawer with at least 5 note compartments and 8 coin cups for Australian currency. Standard 24V drawers (APG Vasario, Star CD3-1616) connect to your receipt printer via RJ11 cable and pop open on sale. For tablet POS without a printer, USB or Bluetooth-trigger drawers are available. Get the right key set for your store — one master key for the manager, one operator key for staff.

5. Payment terminal integration

Australian merchants need an EFTPOS terminal from Tyro, Smartpay, Westpac, ANZ or CBA. Most modern POS software integrates directly so the till sends the amount to the terminal automatically — no double keying, no mismatches at end of day. Confirm your POS software supports your bank's terminal before you order, and budget for a separate Ethernet or 4G data connection for the EFTPOS device.
